Workflows is our Email Campaign tool that can automatically send email messages to student inquiries that come through SmartHub.

The three videos below will give you an Overview of Workflows and guide you through how to set it up.

As a crucial step to hit your ROI with Keystone, we highly recommend you set up this tool, unless you already have an email campaign set up in your own internal system.

Workflows pt.1 - Overview

To set up Workflows, you'll need to first create Templates in the Workflows section (or in the Messaging section). The video below outlines the minimal amount of steps needed to create your own school-branded email template.

Templates can be duplicated to create subsequent templates quicker.

Workflows pt.2 - Template Setup

Once you have set up your Workflows email templates, all you need to do is to set up the schedule of when these emails are sent. The video below will show you how you can easily set up a "timeline" of emails to be sent to your student inquiries.

Workflows pt.3 - Campaign Setup

Here are a few practices to remember with Workflows:

  • Collect/prepare your email templates before setting up your Templates.
  • Keep your email templates between 50-100 words.
  • Don't forget to add your signature and a call-to-action button into every template. Don't forget to add your WhatsApp for Business if you use it (it's free!).
  • Be conscious of your campaign length, don't make it too short.
